How to Document a Fire Drill

A fire drill is an exercise designed to allow those using a facility to become familiar with and practice the exit of a building in case of fire. Institutions such as schools regularly conduct fire drills to determine the time required to evacuate a building and the manner in which it is done. The drill is monitored and documented with information pertaining to the drill.

      Follow the policy in place for a particular school or institution to prepare for a fire drill. Evacuate individuals with special needs and others requiring additional time if specified in fire drill procedures when conducting unannounced drills. Refer to individual institution guidelines for specific information.

      Position individuals, based on policy, in specific areas throughout and outside the building to monitor and report. Place individuals, such as Assistant Principals and security, in hallways, at exits and around the perimeter for monitoring.

      Activate the fire alarm and begin timing with a stop watch. Maintain communication with personnel monitoring the drill by radio or telephone to determine when the entire building is evacuated. Stop the watch when the building is clear and individuals are a specified distance from the exterior of the building.

      Perform a secondary check of classroom doors and windows as well as any automatic fire doors. Note issues with open doors and other problems during the drill. Sound the all clear bell or make an announcement that the drill is ended and to enter the building.

      Gather information from those monitoring the drill. Access the proper form required to document the fire drill. Note the start time and end of the drill, individual authorizing the drill, the date and those involved with the monitoring process. Note any additional information including areas of concern such as automated fire doors that did not activate.

      Submit a fire drill document to the appropriate individuals or office based on local protocol. Keep a copy of the form in a file designated for fire drill documentation. Report any malfunctioning equipment including fire doors, alarms and emergency lighting for repair.
