Choose a leader that has the time and commitment necessary to keep the team on track. He will be responsible for setting the schedule of meetings, arranging for meeting places, gathering resources and providing the general information. The leader is responsible for seeing that team tasks are completed on time, but should refrain from trying to make the decisions for the team. A good team leader allows all team members to work together to make their own decisions.
Elicit an outside facilitator for you team when you are dealing with controversial decisions. This person will help you work through issues in an objective way and will keep interactions focused on the issue at hand. If an outside facilitator is not available, team members may choose to rotate in the role of facilitator.
Choose someone who is organized and can be objective to function as the recorder of your group. This person must take notes of all important decisions made by the group and record the group's progress towards reaching its goal. Objectivity is a must. Be sure the recorder records the actual events and quotes verbatim instead of giving it their own spin.
Choose a team member to serve as the time keeper. This person is responsible for monitoring the time remaining in the meeting, reminding other team members of the time constraints and the work that need to be accomplished in this time frame, and adjusting the agenda to move items to a future date, if necessary.
Maintain a professional manner and keep the lines of communication open. Show respect to those whose opinions differ from yours, and always maintain confidentiality. No one wants to hear things they have said in confidence from an outside source after the meeting.
Remember, as team member you need to work together with other members to reach your goals. While it is perfectly fine to rotate roles, it is important to respect the role of each member at any given time. Offering assistance is great, but trying to take over another team member's role is a no-no. Being supportive of others will go a long way towards reaching common goals.
