How to Document in APA Format

Documenting a source within a body of written material consists of acknowledging the use of someone else's work. The American Psychological Association (APA) requires the documentation of sources in the form of citations. Use the correct APA format to document when you have used information from works belonging to others.

Instructions

  1. Use Citations to Document

    • 1
Place the source's last name and year of publication in parentheses.

Document in APA format by using citations, which provide identifying information for a source. A citation consists of the author's last name and the year of publication, both placed within parentheses. Capitalize the author's last name, and insert a comma between the name and year. For example: (Jones, 2004).

    • 2
Only include the page number for direct quotes --- not paraphrasing.

Document a source based on the manner in you have used it. Only cite with the last name and year of publication when paraphrasing or summarizing a source. Include the page number when quoting directly from a source. For example: (Jones, 2004, p.59).

    • 3
The citation will change if you use the author's name in the sentence.

Use the correct citation format based on how you have written a sentence. In a sentence that contains the author's name, only include the year of publication in the citation. For example: "Jones (2004) indicates that ... ."
