Gather addresses for alumni. Contact your university when creating this list, as universities often maintain up-to-date alumni contact directories. Also consider utilizing social networking sites to gather addresses for individuals with whom the university has lost touch.
Set a date for your event. Consider university events when setting your date. For example, you may want to coordinate your event with your university's planned homecoming celebration.
Book a venue. Make your venue reservation at least 18 months in advance to ensure that you do not miss out on your desired event location.
Pick a theme for your event. You may wish to use your university's mascot and colors as your reunion's theme. To create a different event, consider using the year in which the class graduated as your theme and decorating, planning food and selecting music around this central theme.
Create and mail invitations. Make your invitations indicative of your theme. Include detailed RSVP information as well as information about costs associated with attending the reunion. Mail these invitations at least six months in advance so that potential guests have time to plan for their attendance.
Pick the menu. Either serve a meal or offer finger foods for your alumni guests to snack on.
Prepare get-to-know-you reunion activities. Select games such as an alumni description match up or past and present picture pairings to give your guests the opportunity to better get to know each other.
Honor deceased alumni. Create a wall featuring pictures of these individuals to ensure that they are present in some fashion.
Book necessary reunion staff. Hire a DJ, waitstaff and a bartender if your selected venue does not offer these service providers.
Purchase and set up reunion decorations. Hang your reunion decorations in the days and weeks leading up to the event to finish off your space preparations.
