How to Get a Transcript From the Southern University of Baton Rouge

Southern University of Baton Rouge (SUBR) is a historically black college in Louisiana that has been an accredited university since 1890. As with any institution of higher learning, transcripts are maintained by the office of the registrar. There are any number of reasons a student might request her official transcripts; a prospective employer has requested them, perhaps the student is considering attending another undergraduate school or pursuing post-graduate studies or the SUBR student simply wants a copy available should she need one.

      Pay any outstanding monies owed prior to requesting your transcripts. As is the case for many students, the completion of the school year does not necessarily mean a student has settled all outstanding debts owed. One stipulation SUBR has of its students requesting transcripts is that all outstanding debt (tuition, meals or books) owed to the school is cleared before the registrar will release the transcripts.

      Assess the number of transcripts needed. SUBR will provide the first certified copy of a student's transcript free for those who request one. If additional records are needed for any reason, SUBR charges a $2 fee for each certified copy. Fees for student transcripts must be paid using either a cashier's check or money order. SUBR will only accept one of those two forms of payment to release transcripts.

      Forward a written request to the registrar's office, or visit the office of the registrar in person to submit your formal request for transcripts. SUBR does not, as some schools do, allow for online form completion, fax or email requests of transcripts. All requests must be made in writing and forwarded to: Southern University of Baton Rouge, Registrar's Office, P.O. Box 9454, Baton Rouge, Louisiana 70813.

      Request the transcripts for yourself, as they can only be released to the student other than for a few notable exceptions. Some of the reasons transcripts may be released without prior student approval are: requested by another school the student wishes to enroll in, SUBR personnel need them for educational reasons, for student aid or standardized test situations, if there are court-ordered or medical reasons to access student records or for accreditation purposes.

      Allow two days for the SUBR Office of the Registrar to process the transcript request during most times of the year. However, a request for transcripts from current students of SUBR made at the end of the semester may take as long as 10 days to allow time for final grades to be posted. If the transcript request will not include the current semester's grades, the 10-day wait will probably not be necessary.
