One major project that needs attention is advertising. Without advertising, the gala will not be a success. Enlist the help of students to create posters and banners to publicize the event. Provide butcher paper, pens and paint to create a large banner to hang on the school walls. Make the banner in keeping with the event theme, and use bright colors to attract attention.
Print advertising should include a logo or a visual that people will recognize and associate with your event. Ask students to help create posters and fliers on a computer graphics program. Let other students be in charge of handing out fliers at other school-sponsored events.
Decorations are key in developing a theme for a gala. Ask students, parents and faculty for help in creating and gathering decor items. Use decorations that support the theme you have chosen for the event. Make large murals by hanging a length of butcher paper on the venue wall, then create a scene that helps develop the gala theme. For instance, draw and paint the New York skyline and an image of the Statue of Liberty for a New York-themed event.
Other decoration projects include creating themed props such as cardboard cut outs to use at the party venue and centerpieces for food tables.
Many times gala activities require preparation, such as craft and construction projects. Decide on theme-appropriate activities and ask for volunteers to help complete the projects. Carnival games are appropriate for carnival- or circus-themed galas. Decide on a few games that guests might enjoy, such as a simple balloon dart game or a more elaborate human dunk tank. Some projects will require time and plenty of man power to complete, while others can be done quickly.
Other gala activity projects include compiling photos of the students and awards won by the school or students. Display these items so guests can look them over and feel good about their support of the school.
Form a group to organize the food for the gala. This group can compile a menu and recruit volunteers to make the food. Other committees can take on other projects, such as music selection and lighting effects for the dance floor. You'll also want to document the event. Assign a student, parent or faculty member to be the official photographer. This person can capture the event with a mixture of portraits and candid shots. After the event, compile a book of photos or a secure website where guests can view pictures. Note: Always get permission before taking or posting photos of people, particularly minors.
