How to Use an Outlook Calendar

Staying organized and on top of appointments, birthdays and events used to mean writing everything down by hand on a wall calendar and hoping you'd look at the calendar often enough to be reminded of everything you have to do each week. Now you can manage your calendar electronically with Outlook, the same computer program you use to manage your email. Not only is it easier and more efficient than using a paper calendar, Outlook also provides you with electronic reminders to help you remember that upcoming doctor appointment.

      Open Outlook on your computer and click on the calendar button located on the left hand side of the window to open up your calendar.

      Select how you want to view your calendar (by day, work week, week or month) by either making your selection from the Calendar menu or by clicking on the appropriate view button located at the top of the window above the calendar.

      Review the categories for calendar entries by clicking on the "Categories" button at the top of the window. The drop-down menu will show a listing of preselected categories in different colors. You can use these categories—or add some of your own—to organize your calendar entries by color.

      Add a calendar entry by double clicking on a date in the calendar. A new window will pop up. This is where you'll enter all of the pertinent information about your appointment, including the subject, location, start and end times, and select whether or not you want a reminder to pop up on your computer screen before the event is set to occur. There is also a box for you to type in any extra notes you may need for the appointment, such as an address or directions to the location. You also have the option of including an attachment: simply click on the paper clip icon at the top of the appointment window then select the file you want to attach. Click the "Save" button at the top of the appointment window to save the item to your calendar.

      Determine whether you want to invite anyone to join you at this appointment. The invitee must also be an Outlook user. All you have to do is click the "Invite" button at the top of the appointment window, type in the address then click the Send Now button to send the invitation out via email. The invitee will be able to send you a response indicating whether or not he'll be able to join you. If you change your mind, simply click "Cancel Invitations" at the top of the appointment window to cancel it.

      Check your calendar daily, ideally when you are also checking your email, to see if you have any upcoming events or appointments. Double click on any appointment listed in your calendar to view details, modify the event or cancel the appointment.
