How to Design a Webinar

Webinars, or web seminars, are webcast events that deliver information to virtual attendees. They are more cost-effective than renting conference halls for in-person seminars and can reach anyone with a solid Internet connection. In order to design a successful webinar, organizers must consider both the challenges of a traditional seminar and the unique concerns raised by using the Internet as a medium for communication. Organizers must consider their topic, audience and technical resources in designing an efficient and informative webinar.

      Write down the overall purpose of the webinar, what it will teach and who it will teach that information to. This information will serve as a base for the rest of the webinar design process.

      Write down the specific topics that will be addressed in the webinar. Outline talking points using each of these topics as a heading. Decide whether you need a single-speaker or multiple-speaker format to effectively communicate this information.

      Write a script for your webinar based on the outline from Step 2. Reorganize information to make sure your main points are stated at the beginning of each topic section, with details following each main point. This script can be written as it will be spoken verbatim or written as a series of bullet points to improvise on. Include cues for any graphics, media and guest speakers that you will be using.

      Recruit speakers knowledgeable on your talking points if you have a multispeaker webinar. Match speakers to the segment of the webinar in which they have the most expertise. Have speakers submit their own list of talking points and revise your script to take out any parts that might be made redundant by the speakers' presentations.

      Hire an A/V consultant or crew to handle the camera, sound and Internet feed for your webinar. Register, with the consultant's help, for a web conference tool that will be accessible to the most users.

      Set a date and time when most of your intended audience will be available. Advertise this date on social networking sites and industry publications.

      Set up the space where your webinar will be recorded with any furniture, props and presentation graphics necessary. Clean up your computer desktop if you will be using a screen share during your presentation. Put shortcuts to important documents or folders directly on your desktop for easy access during the webinar.
