It should be sent via snail mail. A great many politicians hold true to being reachable in a number of different venues, but when a person uses the United States Postal Service to send a message, the politician will be receiving “hard” copy, or firm evidence of your communication. It holds with a certain level of tact; it is courteous and professional when wanting to tell an important story or in order to request help from the local government.
The next step will require a look at the two main formats in letter writing. You will be able to make a choice, with regard to the format; keeping in mind your topic as well. These two formats are Block Form and Indented Form. Examples of each are at www.wisc.edu/writing, and the information that they feature is more than helpful. *The Block Form simply keeps each line of the form beginning on the left side of the paper. There are one inch margins on the letter also. *The Indented Form is a more relaxed look, and it has the letterhead typed generally to the right, beginning in the middle of the page. The date will be noted two spaces under the letterhead, on the right side as well. All the way to the left, you'll type the address of the politician. Note: there are double spaces between letterhead, date, politician's address. Next, you'll move another double space In order to type your greeting; an example is Dear Senator Smith. A comma will end that line, and you'll move another double space in order to begin typing the beginning of your letter. You must indent each paragraph by moving five spaces forward before starting to type the first sentence. In ending the letter, you might want to say "Sincerely", then a comma. Move three spaces down to align your name with that word. You may sign your name in between those two lines. Note: Both forms of letter writing will require a double space in between paragraphs.
The next thing you’ll need to work on is presentation in the body of the letter. Be certain that you don’t become overly emotional as you state the purpose of your letter. Telling a “sob story” may not make all the difference. Be realistic; understand that being a realistic presenter is most affective. If you truly need to be noticed by local politicians, tell your story with honesty.
Next, it is important to have the proper address to place on your envelope and on the letter, as seen in the above mentioned examples. Write this legibly and accurately. Mailings can end up at the Dead Letter Office should the post workers find it illegible.
The final step will deal with postage. Be sure to put the proper amount of postage on this envelope, as if it is a bit too heavy for the current rate to cover, it may end up in the Dead Letter Office or back in your mailbox. It's safe to go to the post office and have that weighed to get cost details.
