How to Write a Donation Request Letter to PTOs

Sharron Kahn Luttrell, a school volunteer in Massachusetts, reports on PTOToday.com that parent-teacher organizations nationwide "are picking up the tab for computers, library books, even instructor salaries and classroom aides." Whereas these costs used to be covered by the administration and included in school budgets, increasing economic strain has led to tighter budgets and greater need. If your project or program needs financial support from your school's PTO, write a formal donation request letter asking for funds.

      Clearly define the project or program the PTO's money will support. Explain what is it called, when it will take place and what it will accomplish.

      Describe the cost and benefit of the project to the school community. In other words, tell the PTO how students and teachers are missing out without this effort, and specific ways the project or program will improve their lives.

      Identify a specific dollar amount you need and itemize how you will spend it. Accountability is the name of the game, and your PTO won't give you a dime if the organization's officers are not sure it will be put to good use.

      State whether you need a check up front or need to be reimbursed for expenses if your request is approved.

      Provide detailed contact information for the person who can answer any questions form the PTO or make a formal presentation at the next PTO meeting.
