Read your course catalog regarding the procedure for correcting transcripts. Institutions vary greatly in regarding transcript correction. While some schools require multiple forms and applications to correct a transcript, others only require a signed letter of explanation from the professor or instructor.
Write a letter of explanation to the Registrar. Note the date, course, section and professor in question before describing the nature of the mistake in as much detail as possible. Conclude the note by explaining how you plan to correct the mistake, such as speaking with the professor.
Call the Registrar's office to confirm receipt of your letter. This initial documentation is the first step in the correction process. Your letter also notifies anyone reviewing your file, such as scholarship and financial-aid committees, that your transcript is inaccurate and you are pursuing appropriate corrections.
Speak with your professor to confirm that your transcript accurately reflects your grade. The Registrar may not have recorded changes between class sections or courses. The result is a failing grade for a course you dropped two weeks into the semester.
Write a formal letter of grade appeal or complete the necessary forms online. Grade appeal forms are available at the Registrar's office or on the website.
Obtain your professor's signature on the appeal form or request a written statement of explanation if necessary. Offer to deliver the paperwork from your professor to the Registrar's office in a sealed envelope to minimize any bureaucratic confusion. Respect your professor's decision if she wishes to deliver the papers herself.
Record the name of the person who takes your appeal paperwork at the Registrar's office, if you deliver the items yourself. Establishing a contact person lets you track the progress of your appeal and transcript correction.
Call the Registrar two business days later to confirm the arrival of the necessary appeal forms and ask when your corrected transcript will be available. Even if you personally delivered the materials to a staff member, following up confirms that the paperwork successfully reached your file.
Check your transcript online or call the Registrar's office on the date provided by the staff in Step 8. Processing and correction times vary by institution, but calling every few days to confirm the progress of your transcript lets you monitor the issue's progress. Continue calling and checking until you see the corrected transcript online or in person.
