How to Organize a Youth Academic Recognition Program

Students should be recognized for academic excellence displayed in the classroom, no matter what their ages. One such method of recognition is to host an awards program or banquet to acknowledge students who have done extremely well. Although the same process applies to students from elementary schools, junior high schools and high schools, the selection criteria will likely be different based on the students' age.

      Work with school personnel to select a date, time and location to host the recognition program. Smaller programs often are held in a school auditorium, while more elaborate events might require another venue suitable for a bigger crowd.

      Determine the criteria for being selected for the program. You'll need to decide if you will be following requirements set forth by the National Honor Society, the National Junior Honor Society, the United States Presidential Scholars Program or something more specific to your local area or school. For younger students, it's not always necessary to require a high grade point average (GPA); recognize students for improvements in their GPA, as well.

      Select students to be recognized and send out letters or invitations to the students and their parents inviting them to attend the program. Ask for an R.S.V.P. if you need a specific headcount before making seating or menu decisions.

      Decide if you'll be serving a meal, snacks or just beverages and make arrangements for any refreshments. Solicit parents or ask local restaurants to oblige with a donation of food items. Arrange to have food delivered to the location at least 30 minutes prior to the start of the event.

      Locate an emcee, such as the principal or vice principal, to host the presentation. Depending on the length of the ceremony and the ages of the recipients, arrange to have 1 or 2 speakers give a presentation on topics applicable to the students. If the banquet is for elementary-age students, consider skipping the extra presenters so the kids don't have to sit still for too long.

      Set up tables and chairs for the event or work with the facility maintenance staff to ensure this is complete. Place centerpieces on each table which use the school colors or mascot.

      If you'll be giving certificates during the program, ensure that they're printed before the event. Be cautious and make sure students' names are spelled correctly on the certificates. In lieu of certificates or in addition to them, present medals to students who have the highest GPA.
