Open your letter in the standard business letter format. Include your name and address in the top right of the page. Below that and on the left side of the page include the date and the name and address of the individual or company to which the letter is addressed. Use the standard salutation of "Dear So-and-so:" to start your letter.
Reiterate who you are and the company for which you work. For example, "My name is Carl Beardsley. I am the head photographer for Beardsley and Co.'s Wedding Photography."
Inform the company to which the letter is addressed of the items for which you are releasing authorization. For example, "I am writing you to authorize the use of any and all wedding photographs taken on July 31, 2010 by Jennifer L. Conrad and her husband, Stan Hanrahan."
Provide additional contact information, such as a phone number and email address, in case the company or individual to whom the letter is addressed requires additional confirmation or information. For example, "If you have any questions regarding this release of authorization, please contact me at (454) 555-2929 or via email at [email protected].
Close the letter according to standard business letter conventions. Close with "Sincerely" or "Respectfully" and sign your name. Print your full name under your signature.
