How to Write a Professional Letter to a College

When you write a letter to a friend, the style can be casual, without a specific format. However, when you write a professional, or business, letter, you need to follow specific guidelines. Professional letter-writing guidelines are straightforward and can be followed be almost anyone. Follow formal etiquette to achieve a professional standard when you write to a college.

      Start the letter in the upper-left corner of the page with a return address block. Press "Enter" on the keyboard twice to skip a line.

      Date the letter in either the month, day and year order or the day, month and year order. Spell out the month whichever order you choose. Don't use any commas or irregular spacing. Press "Enter" on the keyboard twice to skip a line.

      Type in the recipient's name and include his title, such as "Mr." or "Dr." Press "Enter" on the keyboard and type in the recipient's address. Press "Enter" on the keyboard twice to skip a line.

      Write your salutation by typing "Dear Mrs./Mr./Ms/Dr." followed by the recipient's last name and a colon, for example, "Dear Mr. Smith:". Press "Enter" twice on your keyboard to skip a line.

      Write the body of the letter in a concise manner, no more than three or four paragraphs.

      State the purpose of the letter in the first paragraph, no more than one or two sentences. Include relevant information to the purpose of the letter only in the second and potential third paragraphs; skip a line between each paragraph.

      Conclude with one or two sentences stating what action you expect the recipient to take, thanks for their time and consideration, and/or your availability for an interview.

      Skip a line after the concluding paragraph and write a closing line, such as "Sincerely" or "Yours Truly" followed by a comma. Skip several lines to make room for a signature. Type out your full name. Skip a two lines, type in "Enclosures:" and list any attachments, for example, a resume or application form.
