How to Write an Average Letter of Recommendation

Employers, colleges and social organizations sometimes weigh the words of a reference when trying to differentiate between candidates. There is an art to writing letters of recommendation. The intent is to write the letter in such a manner that, should an employer, college entrance board or organization representative have to choose between two candidates, it could be the deciding factor. With that in mind, writers should word the recommendation with the intention of making their candidate look better than all the other applicants.

      Start the letter with the date and the mailing address of the recipient of the letter of recommendation. Complete the salutation or greeting with Dear Mr. or Mrs. If the name of the recipient is not known, the standard format is to use "To Whom It May Concern."

      State the intent of the letter. Convey your steadfast support and recommendation for your candidate. It's fine to use standard sentences like "It is with great pleasure that I provide my highest recommendation for Jeff Jones to become the director of the sales department." If the candidate is applying to a college or special college program, indicate in no uncertain terms your unwavering recommendation for the candidate to contribute to the organization or program.

      Provide the reader with your qualifications and credentials as a reference. State degrees earned, profession, special certifications and any additional information representing you as a creditable reference.

      Write about the candidate's qualifications. Mention the candidate's educational credentials and special projects completed which align with the position the candidate is seeking to fill. Provide information about the candidate's job performance, work ethic or special awards received. If the candidate is applying to a college, provide the candidate's community service work, academic performance in school and extracurricular activities.

      Describe the candidate's personal characteristics. Present the candidate as a real person who is able to relate to others on all levels. Write about the candidate's character such as integrity, honesty, dependability, trustworthiness and ability to cooperate with a team. Provide details about the candidate's leadership capabilities and management skills. Reiterate your strong recommendation for the candidate for emphasis.

      Invite the recipient of the letter to contact you for additional information. Provide your email address and phone number. End the letter by thanking the recipient of the letter for their time and consideration of your candidate. Close the letter with "Sincerely," and your signature. Include your title if it applies.
