How to Write a Sponsorship Agreement

Many individuals and organizations need sponsors for various reasons, including events and special causes. Because some sponsors agree to make payments to organizations over time and because others may pledge funds before actually paying them, organizations receiving funds may benefit from a written, signed and notarized sponsorship agreement. In some cases, a sponsorship agreement may protect both parties -- the sponsors and those receiving sponsorships. These agreements insure that goals are met and that duties and obligations are fulfilled by both parties.

      Paste your company or organization's letterhead onto your document and include the official name of your company. The title should come before the first paragraph and must read something along the likes of "sponsorship agreement" or "sponsorship contract."

      Begin the first paragraph of the agreement by typing the date of the agreement and the official names of both the party being sponsored and the sponsor. Also, include the contact information for both the party being sponsored and the sponsor in the first paragraph.

      List the terms of the agreement in the next paragraph, including the dates that the terms will be valid from and until, and the details of the terms of sponsorship.

      List the sponsorship fees and the dates that the sponsor must pay the fees by in the next paragraph. If multiple payments are to be made, list the payment amounts and the dates for each payment.

      Explain how the party being sponsored intends to use the sponsorship and what the party pledges to do; if desired, include dates and other specifics regarding the responsibilities of the parties in return for sponsorship. Include any rules as far as violations, terminations or extensions of sponsorship. The consequences of failing to fulfill duties pledged by either party should be clearly explained in the agreement.

      Have representatives of both parties sign and date the agreement in the presence of a notary; the notarized document should be copied and distributed to both parties and the original and copies stored safely for future reference.
