How to Draft a Memo

Memos are generally short and easy to read. The information has to look simple on the page and must be laid out for an easy read. Each memo has a heading section, which consists of the date, the name of the recipient of the memo, the name of the memo author and the memo subject. Most memos follow a three-part structure: the opening, middle and closing. The writing process should consist of pre-writing, drafting, revising and refining.

      Indent both sides of the memo by an inch. Write the full date at the top of the memo. Leave a space and then write "To" followed by the person's name. Create another space and then write "From" followed by your name with a handwritten initial.

      Leave a space and then write "Subject," followed by a brief, precise and simple explanation of what you are writing about. Capitalize the first word and the main words.

      Leave three spaces and then write the introduction to the information portion of the memo. Describe what the memo is for in a short paragraph. Keep the message focused on the topic.

      Leave a space and then number each point you want to make followed by an explanation of your point. Leave a space after each point. This section is for supporting details and discussion about your message.

      Leave a space and then write your closing. This should focus on outcomes, responses and actions. Revise and refine your memo by adding any information you have missed.
