How to Write a Letter to a School on Behalf of a Parent

Parents, administrators and teachers should ideally work together to benefit a child's education. In order to work most effectively as a team, parents and educators need to have a clear avenue of communication. If a parent is unable to do this, or if a legal matter has arisen and it's more appropriate for a legal representative to maintain communication, you may need to write a letter on behalf of a child's parent to their school.

      Write your address in four lines at the top of the upper right-hand corner. For a formal correspondence such as this, you should employ a formal business letter format. Skip a line and write the date directly underneath this. Skip another line.

      Type the address of the school in four lines on the left side of the paper. Skip a line and write "ATTN:" and then type the name of the department of the school that you're trying to contact. For example, if you're contacting the attendance department, simply write "ATTN: Attendance Department."

      Skip a line and write the salutation of the letter on the following line, such as "Dear Sir or Madam". If you know the name of the person you trying to contact, write that name instead.

      Skip a line and begin your first paragraph by introducing yourself. State your full name, your occupation and your relation to the child.

      Skip another line and state the reason why you're contacting them. For example, if it's a legal matter, state the issue at hand. If you're contacting them because the child is going to have a long absence from school due to travel or a family issue, explain that. Explain why, if appropriate, you are writing to them on behalf of the parents.

      Skip another line and state how you would like the school to respond. For example, if the child will have an extended absence from school, state that you'd like them to send you the work the child needs to stay on top of things. Alternatively, if you want to schedule a meeting, state when and where.

      Close the letter by thanking the school for their cooperation. Provide your contact information so that they may contact you if they have any questions. Skip another line and write "Sincerely Yours," or another acceptable closing. Skip another line and write your name.
